Who we are
Champion Collective Ltd (company number 17310826, registered in England and Wales, registered office 128 City Road, London, EC1V 2NX) runs this website. In this policy, "we" means Champion Collective Ltd. We are the data controller for the information described below.

If you are under 18
Some of the athletes we work with are under 18. If you are applying to us and you're under 18, please have a parent or guardian's awareness before you submit your details, and we will always involve a parent or guardian directly before any commercial representation begins. We do not knowingly use children's information for any purpose beyond reviewing the application and, where relevant, contacting a parent or guardian.
What we collect
**Athlete applications** — full name, email address, sport or discipline, date of birth, location, current record or notable results, whether you already have a manager or promoter, any manager details you give us, an optional highlight reel or social profile link, and your answer to why you want to work with Champion Collective.
**Sponsor roster access** — your name, company, work email, and role if you choose to give it. If you then send an enquiry about an athlete, we store the message and the athlete you asked about.
**Contact form** — the topic you choose, your name, email address, and message.
**Newsletter** — if you sign up, we collect your email address (and name, if you give it) to send you updates. You can unsubscribe at any time using the link in any email we send.
**Accounts** — if we open an account for you, we hold your login email, name, role, account status, and a securely hashed password. We never store passwords in readable form. For invited accounts, we also keep short-lived invite details so the invite link can work.
**Athlete profiles** — if you're an athlete with a profile, we may also hold your discipline, tagline, bio, achievements, location, and whether your profile is published or featured. Published profiles are visible on the roster.
Our lawful basis for using it
- **Athlete applications, profiles, and account administration** — necessary to take steps at your request before entering an agreement with you, and to perform that agreement once signed (contract). - **Sponsor roster access and enquiries** — our legitimate interest in connecting sponsors with athletes, and in running a functioning roster. - **Contact form messages** — our legitimate interest in responding to enquiries sent to us. - **Newsletter** — your consent, given when you sign up. You can withdraw it at any time. - **Security and duplicate-submission protection** — our legitimate interest in keeping the site reliable and secure.
Where we rely on legitimate interests, we've considered that our use is proportionate and expected, and doesn't override your own rights. Where DOB or other athlete data touches a minor, contractual necessity is limited to what's required to assess and, later, formalise representation with parental involvement.
How we use it
To review athlete applications, decide who should be invited into the platform, show and maintain athlete profiles, respond to contact messages, give sponsors access to the roster, broker sponsor enquiries, run accounts, send invite and notification emails, send newsletter updates (only if you signed up), and protect the site from repeated or accidental duplicate submissions.
We do not sell your information, and we do not use it for advertising.
Who we share it with
Our team can see submissions and account information inside the admin area.
We use service providers that keep the site running, including our hosting/database provider and our email delivery provider, Brevo. They process information on our instructions, not for their own marketing, and are bound by data processing agreements.
If a sponsor enquiry is relevant, we may share the enquiry with the athlete or their representative so an introduction can happen. If an athlete profile is published, the profile information shown on the roster is visible to people who have roster access.
International transfers
Some of our service providers may process information outside the UK. Where that happens, we make sure appropriate safeguards are in place — such as the UK's international data transfer framework or standard contractual clauses — so your information stays protected to UK standards wherever it's processed.
How long we keep it
- **Unsuccessful athlete applications** — deleted after 24 months. - **Signed athletes and active accounts** — for as long as the relationship continues, and for a reasonable period after (typically up to 6 years) to meet legal, accounting, and contractual obligations. - **Sponsor leads and enquiries** — up to 24 months from your last contact with us, unless a live conversation is ongoing. - **Contact form messages** — up to 12 months, unless they relate to an ongoing matter.
You can ask us to delete your information sooner at any time, and we will unless we have a clear legal or contractual reason to keep it.
Cookies
We only use cookies that help the site work.
- **cc_session** — if you sign in, keeps you signed in as you move between pages. - **cc_roster** — if you request roster access without an account, remembers that so you don't fill in the same form on every page. - **sidebar_state** — inside the dashboard, remembers whether the sidebar is open or closed.
We do not use cookies to follow you around the internet. We do not use advertising cookies, analytics cookies, or third-party tracking cookies. You can block or delete cookies in your browser, but sign-in, roster access, and some dashboard preferences may stop working properly.
Security
We use appropriate technical and organisational measures to protect your information, including encrypted connections, hashed passwords, and restricted access within our team. No system is completely secure, but we work to keep your information safe and will tell you if something goes wrong that affects you.
Your rights
Under UK data protection law you can ask us to:
- give you a copy of your information (access) - correct it if it's wrong (rectification) - delete it (erasure) - limit how we use it (restriction) - give you your information in a portable format (portability) - stop using it where we rely on legitimate interests (objection)
You can also withdraw consent at any time where we rely on it (for example, the newsletter), and you can complain to the Information Commissioner's Office — [ico.org.uk](https://ico.org.uk), or by phone on 0303 123 1113 — if you're unhappy with how we've handled your information.
